Mediateers LLC Privacy Policy

Mediateers LLC Privacy Policy

Effective Date: November 2, 2026

Last Updated: November 2, 2026

This Privacy Policy explains how Mediateers LLC ("Mediateers," "we," "us," or "our") handles personal information in connection with mediateers.com and our business. It describes the information involved, why we use it, when we disclose it, and the choices available to you.

For privacy questions or requests, email hello@mediateers.com. You do not need to become a customer to contact us about your privacy.

1. Company and scope

Mediateers LLC is a Florida limited liability company providing business services such as website design and maintenance, lead follow-up and reputation workflows, marketing support, AI and automation setup, and NFC/QR cards, stands, and related products.

This notice applies when you visit our website; submit an inquiry, intake, or project form; book a meeting; communicate with us; purchase or inquire about our services; interact with a link or page we operate; or act as a client, vendor, contractor, referral partner, or other business contact.

"Personal information" means information relating to an identifiable individual, including business contact information where protected by applicable law. It does not include information that qualifies as anonymous, aggregated, or deidentified under that law. When we use deidentified information, we maintain its deidentified status and do not attempt to reidentify it except as legally permitted to assess our deidentification processes.

This notice is an explanation of our practices. Reading it, browsing our website, or submitting a general inquiry does not by itself give consent to optional marketing, recording, sensitive-data processing, or other activities requiring separate permission. It does not waive privacy rights or replace a required data-processing agreement.

2. Our role and client-controlled information

For our own website, inquiries, client administration, billing, security, and business marketing, we generally determine the purposes and means of processing. Applicable law may call this acting as a controller or business.

For a client's website, CRM, lead workflow, review-request system, or other project, we may instead process information on the client's behalf under documented instructions. Applicable law may call this acting as a processor, service provider, or contractor. In that situation, the client's notice explains its purposes and choices, and our agreement addresses our processing responsibilities.

If your request concerns information a business collected through a system we helped build, contact that business first. If you contact us, we will reasonably assist in identifying the responsible client and handling or forwarding the request as appropriate. We do not independently change or disclose client-controlled records without authorization or another lawful basis.

Our contracts cannot remove rights or obligations that applicable law makes mandatory. Client instructions also do not authorize unlawful processing or excuse Mediateers from its own legal responsibilities.

3. Information you provide directly

Depending on the interaction, we collect information such as:

  • Contact and professional details: your name, email, telephone number, business name, role, business address, website, and business social-media profiles.

  • Inquiries and communications: services of interest, messages, attachments, feedback, support requests, and correspondence records.

  • Project information: business goals, preferences, proposed content, branding, files, design approvals, technical requirements, and information needed to provide the agreed work.

  • Scheduling information: availability, appointment details, time zone, attendee information, and answers to booking questions.

  • Commercial records: proposals, agreements, order details, invoices, payment status, refunds, subscriptions, and related communications.

  • Fulfillment information: recipient name, delivery address, delivery instructions, and shipping or collection details when necessary for physical products.

  • Preference and permission records: marketing choices, relevant consent wording and timestamps, opt-out requests, project instructions, and privacy-request records.

We do not require every category for every interaction. Please provide only information relevant to the request. If you provide another person's information, you must have an appropriate basis for doing so and give any notice required from you.

4. Forms, required fields, and your choices

Our contact, intake, and project forms identify required information where applicable. For a general inquiry, we need enough contact information and detail to understand and respond to your request. Other information, such as a telephone number or website, may be optional unless needed for the particular service.

You may decline optional fields. Without information necessary to respond, schedule, fulfill an order, or perform a project, we may be unable to provide that specific function.

Submissions may pass through and be stored by our website platform, form delivery service, business email, file storage, and any disclosed or agreed project integration. Delivery and spam-prevention systems may also process technical information associated with the submission.

A link to this notice explains processing; it is not a marketing opt-in. Any optional subscription choice is separate from sending an inquiry and is not preselected. Contact forms are not intended for confidential account credentials, payment-card details, or sensitive personal records.

5. Sensitive information and account access

Do not send unnecessary government identifiers, full payment-card numbers, bank login details, passwords, authentication codes, health records, biometric information, precise location data, information about children, or other highly sensitive information through general forms, ordinary email, scheduling questions, or public messages.

Our standard services do not require health records, biometric identification, or similarly regulated datasets. Before any exceptional project involving sensitive information, we must agree on the specific need, legal permissions, scope, safeguards, and appropriate transmission method. This notice alone does not authorize that project.

Where a project requires access to a website, domain, CRM, or other business account, we prefer a separate user invitation with appropriate permissions. Any necessary credentials or access tokens must use an agreed secure method. Access is limited to the authorized work and should be removed when no longer needed.

If you accidentally send sensitive information, contact us promptly without repeating it. We will assess appropriate restriction, deletion, or other handling, subject to necessary legal and security obligations.

6. Scheduling, meetings, and communications

When scheduling is offered through Calendly or another identified provider, that provider processes the booking information you submit. Calendar and meeting services, such as Google Calendar and Google Meet, may process participant details, invitations, meeting metadata, and communications needed to arrange or conduct the meeting.

We retain relevant correspondence and meeting notes to answer questions, prepare proposals, document instructions, and support the business relationship.

Before Mediateers activates a recording, automated transcription, or AI meeting assistant, we will explain the activity and obtain any legally required consent. A meeting invitation or this notice is not blanket permission to record. Where recording is optional, you may ask to continue without it or use another reasonable communication method. An authorized recording or transcript is handled for the disclosed purpose and with appropriate access restrictions.

7. Payments, invoices, and physical orders

We use payment services such as Square for invoices, checkout, and payment processing. These providers may collect payment credentials directly and process them under their own obligations and notices. Mediateers receives information needed to administer the transaction, such as payer and billing details, amount, payment status, payment-method type, limited payment identifiers, and refund or dispute records.

We do not intentionally store complete payment-card numbers or card security codes in our own website forms or ordinary business files. Please use the designated payment flow rather than sending card details to us.

For NFC cards, signs, stands, or other physical products, we may provide the relevant recipient, address, order, and delivery details to production or delivery providers. Information supplied for fulfillment is not permission for unrelated marketing by Mediateers.

This notice explains payment-related data handling. Pricing, deposits, recurring billing authorization, cancellation, and refunds are addressed in the applicable order and service terms; accepting a privacy notice is not authorization for a charge.

8. Information processed for client projects

Authorized client work may involve customer or lead names, contact details, inquiry messages, appointment records, CRM entries, consent and suppression records, review-request details, or other information expressly needed for the agreed workflow.

We process that information under the applicable agreement and documented lawful instructions, including any agreed data-processing schedule. We limit access and disclosures to the work, security, support, and other purposes permitted by that agreement and law. We do not sell client-controlled personal information or use it for our own unrelated marketing or general-purpose AI model training.

Clients are responsible for their collection practices, required notices and permissions, recipient sources, approved content, and lawful instructions. We remain responsible for our own processing duties. We may decline or pause instructions involving unlawful spam, fabricated reviews, improper disclosure, or another material privacy or security risk.

When an engagement ends, return, deletion, and any limited continuing retention follow the applicable agreement and law. This notice does not authorize us to keep an entire client customer database indefinitely or reuse it for a different client.

9. Public sources, referrals, and business outreach

We may obtain relevant professional information from business websites, public social-media profiles, business directories, public business records, referrals, networking events, and clients or other business contacts.

We may use this information to understand a business, assess a potential project, verify contact details, or conduct lawful business-to-business outreach. Public availability does not by itself establish consent for marketing texts, automated calls, or every other use.

You may ask us to stop promotional outreach by emailing hello@mediateers.com or using the method in the message. We keep the limited suppression information needed to honor that choice. We do not provide our contact lists to third parties for their independent marketing.

10. Website hosting, logs, and technical information

Our public website is built and hosted using Framer. Website delivery, security, and related infrastructure may process technical information, including IP address, browser and device information, operating system, request time, pages requested, referrer information, approximate location derived from IP address, and diagnostic or security events.

These processes may occur even when you do not submit a form. Some information is processed by the platform on our behalf; some may be processed by a provider for its own legitimate service operation or legal responsibilities, as explained in its applicable notice.

We use relevant technical information to deliver pages, identify errors, understand overall site use, prevent spam or abuse, and protect the service. We do not use ordinary website visits to obtain your phone's contacts, messages, photos, or precise GPS location.

11. Framer analytics, cookies, and embedded services

Framer provides native website analytics, including visitor counts, pageviews, referral sources, and approximate country or device information. Framer describes its native analytics as operating without cookies or persistent visitor identifiers. That description concerns Framer's native analytics; it does not mean every service linked or embedded on a Framer site is anonymous or cookie-free.

Our public website is operated without advertising pixels, cross-site retargeting, or session-replay tools installed by Mediateers. We do not use Google Analytics, Meta Pixel, or TikTok Pixel on that website. Basic Framer analytics and operational logs are distinct from those advertising or recording tools.

Necessary website functions and provider services may use cookies, local storage, or similar technologies for functions such as security, preferences, or delivering a requested feature. Embedded scheduling, video, social, or payment features, when present, can transmit technical information to their providers and may use their own technologies. An embedded feature can communicate with its provider when it loads, before you submit information.

Before introducing optional tracking or a feature requiring consent, we will provide the necessary information and implement the required choice or consent controls. We do not treat continued browsing as consent where an affirmative choice is required.

You can use browser controls to restrict cookies or local storage. Restrictions may affect some features and do not necessarily stop server logs or cookie-free analytics. Where a consent tool is provided, you may change optional choices through that tool; you can also contact us about available controls. This notice does not imply that a cookie banner or preference center is already installed.

12. NFC tags, QR codes, links, and redirects

Our NFC and QR products generally contain or encode a web address directing a user to a website, review page, booking page, or another approved destination. Reading that link does not itself give Mediateers access to the phone's files, contacts, messages, payment information, or precise location.

Opening the destination creates an ordinary website interaction. The destination, a redirect provider, and relevant network or platform services may process IP address, device details, request time, and other technical information. A signed-in destination may associate the activity with an existing account under its own practices.

If Mediateers operates the redirect or landing page for its own business, this notice applies to our handling. If we operate it for a client, Section 2 also applies. A direct link to an independent platform is governed by that platform's notice for its processing.

Tapping or scanning is not a guarantee of anonymity and is not consent to receive marketing. If you subsequently submit a form or review, the information you submit is handled by the relevant recipient. Unique links, if used in an agreed campaign, may also reveal which link or campaign was opened; they are not inherently anonymous.

13. AI tools, automation, and automated decisions

We may use AI-assisted tools to draft or edit content, assist development, organize non-sensitive business information, or support an expressly approved client workflow. Automation may route forms, organize leads, schedule actions, or send approved communications through agreed systems.

We limit information provided to these tools to what is reasonably needed for the task. For client-controlled information, the provider, use, and safeguards must be consistent with the applicable agreement and instructions. We do not submit sensitive personal information or confidential client records to general-purpose AI tools without the required authorization and appropriate protections.

We do not use, or authorize a provider to use, private inquiries, confidential client materials, or client-controlled personal information to train general-purpose AI models for unrelated purposes. Before using an AI provider with such information, we select contractual terms and settings consistent with that restriction. Merely calling a tool "AI" or using a paid account does not establish its privacy protections.

Authorized AI providers may still process inputs, outputs, and necessary service records to deliver, secure, or support the chosen service under applicable terms. We do not promise that every provider has zero retention or exclusively United States storage.

For our own business, we do not use solely automated decision-making to make decisions about individuals with legal or similarly significant effects, such as credit, employment, housing, or insurance eligibility. Routine routing or drafting is not a guarantee of accuracy. If a future activity requires additional disclosures, safeguards, or consent, those must be in place before that activity begins.

14. Purposes for using information

We use the information described above, as relevant, to:

  • Answer inquiries, arrange meetings, and prepare proposals.

  • Establish and administer client and supplier relationships.

  • Deliver, configure, maintain, troubleshoot, and support agreed services and products.

  • Process orders, invoices, payments, delivery, refunds, and legitimate disputes.

  • Maintain records of instructions, approvals, consent, and communication preferences.

  • Send requested information and necessary project, transaction, service, or security updates.

  • Conduct permitted marketing and business outreach, subject to your choices.

  • Improve our service processes and website using information appropriate to that purpose.

  • Detect and prevent spam, fraud, unauthorized access, and other misuse.

  • Meet legal, tax, accounting, security, and regulatory obligations.

  • Establish, exercise, or defend legal rights.

Service improvement does not authorize unrestricted reuse of confidential client data or general-purpose model training. For a materially different purpose, we provide any required additional notice and obtain any required permission before the new processing.

15. Categories of recipients and disclosure purposes

We disclose information as relevant to the interaction and for the purposes below:

  • Operational providers and contractors: website hosting, forms, business communications, scheduling, file storage, IT support, and security providers may receive relevant contact, project, communication, and technical information to perform their roles.

  • Payment, accounting, and fulfillment providers: relevant billing, commercial, recipient, and delivery information supports payment processing, accounting, production, or delivery.

  • Approved project systems: client-authorized CRM, automation, messaging, AI, and other integrations receive the information needed for the agreed workflow, subject to Section 8.

  • Professional advisers: attorneys, accountants, insurers, and other advisers may receive information needed for advice, compliance, or a dispute, subject to appropriate duties.

  • Recipients you direct: we disclose specified information when you request or lawfully authorize that disclosure.

  • Authorities and parties protecting legal rights: relevant information may be disclosed in response to binding legal process or where law permits and disclosure is reasonably necessary to address fraud, security, safety, or legal claims.

  • Parties to a business transaction: relevant records may be reviewed or transferred in a genuine financing, merger, acquisition, reorganization, or sale, subject to appropriate confidentiality, restricted access, and applicable law. A transaction does not remove required privacy protections or authorize an undisclosed incompatible use.

Providers acting on our behalf are subject to appropriate contractual restrictions, including applicable confidentiality, security, and purpose limitations. We share information proportionate to the recipient's role. Some recipients, including payment processors or independent platforms, may also have their own legal responsibilities and processing purposes.

16. Platforms relevant to our services

The platforms involved depend on the feature you use and the agreed project:

Client-specific AI, automation, CRM, and other providers are identified through the relevant project arrangements. Mention of a provider does not mean every product it offers is enabled, every provider receives every visitor's information, or an account's optional advertising, AI, recording, or tracking feature is active.

If you interact with our profiles on Instagram, TikTok, or another social platform, the platform processes that interaction under its own notice. We receive the messages, profile information, or other information that your interaction and platform settings make available to us. Contact us if you need information about a provider used for your interaction.

17. Sale, targeted advertising, and browser signals

We do not sell personal information for money or other valuable consideration. We do not share it for cross-context behavioral advertising or use it for targeted advertising across unrelated websites or applications, as those practices are defined under applicable privacy laws. We do not offer financial incentives in exchange for personal information.

Disclosures needed to perform a requested service are described in Sections 15 and 16. Calling a recipient a service provider does not by itself create a legal exemption; the recipient's role, contractual restrictions, and actual use must meet applicable requirements.

Our website does not currently change its operation in response to a browser's legacy "Do Not Track" setting. That setting is different from legally recognized opt-out preference signals such as Global Privacy Control. We honor valid opt-out signals to the extent applicable law requires for processing we conduct. Because we do not conduct the sale, sharing, or targeted-advertising activities described above, those signals do not currently need to stop such an activity by Mediateers.

If we propose to change these practices, we will update the relevant disclosures and implement required opt-out or consent controls before the change. This notice does not override a previously expressed preference.

18. Promotional email and service messages

A general inquiry is not a required subscription to ongoing promotional email. Where we offer an email subscription, the choice is separate and optional.

We may send promotional email when you subscribe or where applicable law permits relevant business outreach. You may unsubscribe through the method in the message or email hello@mediateers.com. We honor valid requests promptly and within the period required by law; for marketing email covered by United States CAN-SPAM requirements, no later than 10 business days. We do not charge for opting out or require unrelated personal information.

We may continue necessary non-promotional communications, such as a response you requested, an invoice, an appointment confirmation, a project update, or a security notice. We do not use that exception to disregard an opt-out for promotional messages.

We retain limited suppression records to prevent renewed marketing to an opted-out address. A deletion request does not require us to delete the minimum information necessary to honor an opt-out where retaining it is lawful.

19. Telephone numbers, texts, and calls

Providing a number for an inquiry, order, or appointment does not by itself authorize recurring marketing texts, autodialed marketing calls, or artificial or prerecorded voice marketing. We may use the number to respond through a requested or otherwise legally permitted communication channel.

Mediateers does not currently operate a recurring promotional SMS or automated marketing-call program for its own business. This notice does not enroll you in one. Any future program must have its own appropriate disclosures, required consent, and working revocation methods before activation.

You can tell us to stop optional calls or texts by replying where supported, telling us during a call, or emailing hello@mediateers.com. We honor reasonable revocation requests as applicable law requires. A preference for no marketing does not prevent a response you newly request through that channel.

If we configure communications for a client, that client must be identified in the relevant messages and notices. Its permissions and suppression records govern its program; its customers are not thereby enrolled in Mediateers marketing. We do not share telephone numbers or text-message opt-in records with third parties for their own marketing.

20. Retention and disposal

We retain information for the period reasonably needed for its stated purpose and applicable legal or contractual obligations. We consider the nature and sensitivity of the data, whether the relationship remains active, the risk of continued retention, and whether the purpose can be met with less information.

  • Inquiries and prospective projects: while responding, conducting relevant follow-up, and maintaining a reasonably needed record of that interaction. We review records that are no longer needed rather than retaining every inquiry indefinitely.

  • Client communications and project files: during the engagement and for an appropriate period afterward for agreed support, handoff, records of performance, and legitimate legal needs. Client-controlled datasets also follow the agreed return and deletion terms.

  • Transaction records: for applicable tax, accounting, payment, fraud-prevention, and legal recordkeeping needs.

  • Technical and security records: for operational, diagnostic, security, and investigation needs, taking account of the provider's retention controls.

  • Consent, opt-out, and privacy-request records: as needed to honor choices, demonstrate handling, and satisfy legal requirements, while limiting unnecessary content.

We may retain particular information longer for a legal hold, an actual or reasonably anticipated dispute, fraud investigation, or another lawful requirement. Such retention is limited to the relevant need and does not authorize unrelated use.

When information is no longer needed, we take reasonable steps to delete it, securely dispose of it, or deidentify it. Backup copies may persist until the applicable rotation or deletion process completes. Information retained in backups or restricted archives remains protected and is not put back into ordinary use merely to bypass a deletion request. Independently controlled third-party records follow that third party's obligations and practices.

21. Information security

We use reasonable administrative, technical, and physical safeguards appropriate to the information and systems involved. These include limiting access to authorized people and providers, protecting business accounts, reducing unnecessary collection, and using appropriate security features of our systems.

No method of transmission or storage is completely secure. We cannot guarantee that an incident will never occur. This limitation does not excuse our own security obligations or eliminate rights and remedies provided by law.

Protect credentials under your control, use authorized sharing methods, and notify us promptly of suspected unauthorized access connected with a Mediateers project. A report should describe the concern without including exposed personal information or passwords unnecessarily.

22. Security incidents

If we become aware of a security incident affecting information for which we are responsible, we will assess the event and take appropriate steps to investigate, contain, and address it. We provide notifications to clients, individuals, authorities, or other parties when required by applicable law or our agreement.

For information handled on a client's behalf, we cooperate with the client under the applicable data-processing terms, including required reporting deadlines. We do not condition a legally required notification on the client paying an invoice or waiving a claim.

Report a privacy or security concern to hello@mediateers.com. Sending a report does not authorize access to someone else's information or further testing of our systems.

23. Access, correction, deletion, and other requests

You may contact us about your information, correct information you have supplied, or ask us to stop optional marketing. Depending on your location, the applicable law, and the processing involved, additional rights may include:

  • Confirmation of processing and access to personal information.

  • Correction of inaccurate information and deletion of eligible information.

  • A portable copy of information, where applicable.

  • Restriction of, or objection to, certain processing.

  • Withdrawal of consent for processing based on consent.

  • Opting out of sale, sharing, targeted advertising, or qualifying automated profiling where applicable.

  • Limiting certain uses or disclosures of sensitive information.

  • Appealing a request decision or complaining to a regulator.

Email hello@mediateers.com, preferably with the subject Privacy Request, and describe what you need. Include the email address or relationship that helps us locate the relevant records. Do not include a complete government identification number, payment-card number, password, or unrelated sensitive material.

We may request proportionate information to verify identity or an agent's authority where appropriate. We do not require identity verification for an opt-out when the applicable law prohibits it. Verification information is used for that purpose and relevant security or compliance records, not unrelated marketing.

We respond within applicable legal deadlines and explain any permitted extension. Where a request can lawfully be limited or denied, we explain the reason as required, such as inability to verify access to records, protection of another person's information, or a specific legal retention exception. A general preference to keep information is not itself a legal exception. Any fee must be permitted by applicable law and explained in advance.

If an appeal right applies, email the same address with Privacy Request Appeal and enough information to identify the decision. We will provide the outcome and any required information about contacting the relevant authority. You may contact a regulator without first contacting us.

Withdrawal of consent does not make earlier lawful processing unlawful and may prevent a consent-dependent feature from continuing. We do not unlawfully discriminate or retaliate against you for exercising a privacy right. For client-controlled records, Section 2 explains our role.

24. United States state privacy rights

State privacy laws differ in coverage, exemptions, thresholds, request procedures, and rights. A right described in this notice applies as a legal entitlement when the relevant law covers Mediateers or the relevant processing. We do not claim that every state privacy statute applies to this business, or that business contact information is categorically outside privacy protection.

The categories and sources of information appear in Sections 3–13; purposes appear in Section 14; recipients and disclosure purposes appear in Sections 15–16; sale and advertising practices appear in Section 17; retention criteria appear in Section 20; and request and appeal methods appear in Section 23.

Where additional state-specific notices, request channels, or controls are required for a particular activity, we provide them. Neither this notice nor our service terms require you to waive nonwaivable privacy rights. You can contact us about privacy concerns even if a particular comprehensive state privacy law does not apply.

25. Public content and independent services

Information you choose to publish in a public review, public social-media comment, or another public destination may be visible to others, copied, or indexed by search engines. The platform's settings and policies affect its availability. Send private questions to our email rather than placing sensitive information in a public comment.

Providing a private message or project file does not authorize us to publish it as a testimonial or case study. We obtain appropriate written permission before using identifiable client materials or private feedback for that purpose, consistent with our agreements.

Independent websites, social platforms, booking pages, payment services, and review destinations apply their own notices to processing they control. We cannot change their independent practices, but using a vendor does not remove our responsibilities for our own collection, instructions, provider selection, and disclosures.

26. Children and contracting age

Our website and services are intended for a business audience and are not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has supplied such information, contact hello@mediateers.com. If we learn we collected it without a legally required authorization, we will take appropriate steps to delete it and address the issue as required by law.

Our service terms require an adult with legal authority to enter a paid agreement. Minors should not submit sensitive information, client datasets, or payment credentials through our forms. We do not sell or share children's personal information for cross-context behavioral advertising.

27. International processing and legal bases where applicable

Mediateers is based in the United States and primarily serves United States businesses. Our website can be accessed from other countries. Information may be processed in the United States or other countries where an authorized provider operates; privacy laws and government access rules may differ from those in your country.

Where a law such as the EU or UK GDPR applies to processing we control, the legal basis depends on the purpose: taking requested steps toward, or performing, a contract with you; meeting a legal obligation; pursuing legitimate interests such as responding to business inquiries, administering business relationships, securing systems, and appropriate service improvement, subject to the required balancing of rights; or obtaining consent where required, including for relevant optional marketing or tracking. A business client's contract does not automatically provide a contractual legal basis for processing every other person's information.

Where legally required for a restricted international transfer, we arrange an applicable transfer mechanism before transferring the information, such as an applicable adequacy decision or appropriate contractual safeguards. We do not claim that Mediateers is certified under a data-transfer framework merely because a vendor participates in one. Contact us for information about safeguards applicable to your information.

International visitors retain rights granted by applicable law, including applicable rights to object, restrict processing, withdraw consent, or complain to a supervisory authority. Visiting this website is not blanket consent to an international transfer. A client planning a project involving individuals outside the United States should tell us before providing data so that project-specific requirements can be addressed.

28. Changes to this notice

We update this notice when our practices or relevant requirements change and revise the date at the top. For material changes, we provide additional notice and obtain consent where required before applying the new processing to information already collected.

Posting an updated notice alone does not override an existing opt-out, create a marketing subscription, authorize an unrelated AI-training use, or replace legally required consent. Contact us if you need information about an earlier version applicable to your interaction.
